Logistics Officer - Islamabad

Relevant Experience:
  • 3-4 years logistics experience
  • Technical training in construction and/or automotive mechanics
  • Strong computer experience; especially Excel
  • Strong English reading and writing skills
  • INGO Experience preferred
  • Reporting experience
Job Detail:
  • Provide logistics support to staff of ARC International Pakistan in Quetta, Swat and Islamabad to run its program effectively. Oversee the deployment, scheduling, maintenance and repair of the ARC Pakistan vehicle fleet.
  • Organize the transportation of material, equipments and personnel to the field.
  • Prepare a vehicle equipment check list and ensure all the tools, first aid box, spare tire, tow rope etc as required and maintain project vehicles.
  • Check and ensure all the vehicle related documents are available as required by the agency and government of Pakistan including security clearance certificate, accident report form, contact numbers for security coordinator, traffic/police office, hospitals.
  • Arrange vehicles or transportation for project materials, supplies and equipment including medical supplies from/to Swat and Quetta and coordinate with logistics officer in Swat and Quetta.
  • Arrange vehicles or transportation for project materials, supplies and equipment including medical supplies to / from field offices and coordinate with logistics officer in field office.
  • Identify the storage location and proper storage of any in-transit material and any other equipment and furniture in Islamabad for future use.
  • Ensure items and equipment are stored securely and transported promptly and safely to project areas.
  • Ensure major and minor repair work in Islamabad office and other premises belonging to ARC International.
  • Assist in the establishment of field offices, warehouses, etc at the project set up phase.
  • Prepare fuel request and submit them to Interim Operations Manager for approval.
  • Assists in the preparation and physical verifications of ARC fixed assets.
  • Make physical inventories / spot checks in ARC warehouses.
  • Ensures good maintenance services in ARC staff house / offices and warehouses.
  • Ensures regular maintenance of ARC vehicles including generators.
  • Make a schedule for ARC Security Guards.
  • Prepare daily and/or weekly vehicle schedule for both Field trip and Islamabad Office.
  • Prepare drivers’ duty roster at least a monthly basis and submit to the supervisor every month.
  • Ensure vehicle log books are maintained and review at least monthly basis to ensure official vehicle is used only for official business.
  • Prepare monthly fuel consumption report, vehicle repair and maintenance report, drivers’ overtime and submit to the supervisor with an analysis sheet.
  • Reconcile the fuel bills with the fuel consumption report and vehicle log books of all ARC offices in Pakistan before forwarding to finance the fuel costs summary for payment of monthly fuel bills.
  • Check and verify monthly fuel consumption report, vehicle repair and maintenance report, drivers’ overtime received from the field office and submit to supervisor with an analysis sheet.
  • Prepare vehicle repair and maintenance request and submit through supervisor with all required supporting documents and justifications.
  • Prepares monthly statistical reports of all receipts and shipments of supplies.
